The Executive Assistant (EA) will provide general administrative support to CERTIFY’s CEO as well as the President. He/she will oversee the daily operations of administrative functions in the main office, and help to ensure customers receive timely services of the highest quality. The EA opportunity is full time, and will be located in Potomac, MD.

Responsibilities:

  • Reporting to the CEO & President, provides general administrative support to CERTIFY
  • Represents the executive offices with courtesy and professionalism in all telephone and personal contacts, both internal and external, using initiative and good judgment to resolve as many issues as possible, referring any unresolved issues to the appropriate party, briefing the executives where appropriate.
  • Prepares travel arrangements for leadership and submits expense reports on their behalf.
  • Coordinate, schedules, and manages meetings with customers, recurring events, and conferences including communications and agendas.
  • Compose, sort, prioritize and distribute routine correspondence (i.e. email review, reminders for important items, etc.).
    Manages and maintains calendars for leadership
  • Records and types meeting minutes for those committees requiring written documentation.
    Process incoming/outgoing mail and packages.
  • Maintain filing systems both electronic and hard copy.
  • Exhibits a high degree of responsibility for confidential matters.
  • Conducts business functions competently in the absence of supervision, evaluating the situation and intervening as necessary.
  • Greets, screens, logs entry, and directs visitors to appropriate CERTIFY staff.
    Enforces compliance with staff and visitor access processes and procedures for office entry.
  • Screening and routing main telephone line incoming calls appropriately
  • Operate office equipment such as fax machines, copiers and phone systems, and computers for spreadsheet, word processing, and other applications.
  • Maintains office equipment in good working order ensuring all is operational and contacts the appropriate vendor when repairs/maintenance is required.
  • Participates in planning office improvements and ensuring office environment remains clean and professional.
    Orders and tracks office supplies and maintains and verifies office inventory.
  • When necessary, performs local travel outside the office such as post office delivery, print shop pickup, etc.).
  • Coordinate with Director of Talent for meeting and event management including preparations, ordering food, ensuring equipment is available, set up and in working order in scheduled meeting room.
  • Accepts responsibility for other duties as assigned.

Qualifications:

  • Expert level knowledge of Microsoft Word, Excel, PowerPoint, and Outlook
  • Strong interpersonal skills and ability to multitask
  • Ability to take initiative in a fast-paced environment
  • Strong oral and written communication skills

Project Manager

The Project Manager (PM) is responsible for leading large and complex client projects from sales support through software development and implementation. The right leader in this position has leadership qualities to lead a large multi-functional and geographically distributed team.  The position manages the high-level business objectives for the project through to being “hands on” with assessing requirements, client delivery, and understanding software product development coding processes. The PM will work with an agile team of developers (onsite and offshore technical teams) building industry leading, high performance, cloud based applications. While assisting in management of software engineering efforts, the project manager will help lead interface requirements, business specifications, project plans, budgets, and implementation plans with process control tools and techniques that help create world class software products and solutions for our customers.

The PM needs to be able to thrive in a fast-paced startup environment in the enterprise system space. This position will be integral to program management and ensure solutions met customer business requirements. This includes ensuring proper methods are followed to track program cost, schedules and performance across the business and product lines. This position will be required to work independently and will lead staff activities for services related to various projects within CERTIFY. Project, program and change management best practices, standards, governance, procedures, tools and templates for successful solution delivery are closely administered by the PM to meet client and quality goals and objectives.

The position requires excellent customer service and written and oral communication skills as a successful candidate will be working closely with customers to define their requirements, workflow, and be integral to the successful delivery and execution of or software products pre- and post-implementation. Ability to lead combined teams with senior client, strategic vendors, and Certify personnel and ability to report and present to executive management is a must.  This strategic position collaborates routinely with various CERTIFY management/staff with expertise in software development, quality assurance, account management, client services, finance, marketing, sales, commercial business partners and subject matter experts from various industries. The individual in this role needs to be self-driven and have a passion for understanding how to solve problems efficiently with biometric technology.

Requirements:

  • Bachelor of Science degree in Business Management, Computer Science or similar field of study with a minimum of 5 -years of progressive program/project management experience.
  • Demonstrated leadership and management experience leading complex projects with a high degree of autonomy and independence with emphasis on influence management and conflict resolution.
  • Certification in Program Management preferred (i.e. PMP or DAU level 3).
  • Strong command of IT/technology is a must with experience in Healthcare technology preferred
  • Advanced knowledge of program management tools and procedures.
  • Excellent communication, presentation, and customer management skills with advanced problem solving skills
  • Demonstrated success in managing resources, project schedule and budget.
  • Trustworthy with a keen business acumen around organizational strategic awareness understanding how to get things done.

Responsibilities:

  • Responsible for leading the CERTIFY program management function. This includes full life cycle management, from development through sustainment to include: proposal development, requirements decomposition, generation of statements of work, solution implementation, and continuous improvement efforts.
  • Ensures that proper methods are followed and tracks and manages program cost, schedules and performance against established program milestones
  • Tracks and aggressively manages all project issues, dependencies, and contingencies
  • Leads daily, weekly, periodic integrated project team meetings with an organized agenda and approach for efficient processing of all project or program deliverables
  • Reporting status to management stakeholders on a regular, agreed upon basis.
  • Creates, manages, and reports on a transparent risk management process for the entire program or initiative
